Use this accounts receivable aging calculator to group unpaid invoices by days past due. Enter each due date and open balance to see current, 1–30, 31–60, 61–90, and 91+ day totals, plus the share overdue and an invoice-by-invoice report.

Zero-balance rows are excluded from the totals. The weighted days metric uses overdue balances only; it is not Days Sales Outstanding.
How the accounts receivable aging calculator works
The accounts receivable aging calculator compares each invoice’s due date with one report date. An invoice due on or after the report date is current. An invoice due the day before is one day past due. The number of calendar days then determines the overdue bucket. Each unpaid balance contributes to exactly one bucket, and the buckets add to the total open receivables.
Bucket total = sum of open balances assigned to that range.
Overdue share = overdue balance ÷ total open balance × 100%.
Weighted overdue days = sum(overdue balance × its days past due) ÷ total overdue balance.
Unlike a customer-level ledger, the calculator does not pull records automatically. Enter the outstanding amount after payments and credits. Use the same reporting date and currency for all rows. A fully settled invoice should be removed or entered with a zero balance, which is excluded from the report. Future-due invoices stay in Current, even if they were issued weeks ago.
Worked example: five invoices
The preset example uses October 12, 2026 as the reporting date. INV-101 is due October 20 and has $1,200 current. INV-102 is 11 days late with $800 in 1–30. INV-103 is 41 days late with $600 in 31–60. INV-104 is 72 days late with $400 in 61–90. INV-105 is 104 days late with $200 in 91+. All five open balances total $3,200.
In the accounts receivable aging calculator, the overdue balance is $800 + $600 + $400 + $200 = $2,000, or 62.5% of total receivables. The balance-weighted overdue age is ($800 × 11 + $600 × 41 + $400 × 72 + $200 × 104) ÷ $2,000 = 41.5 days. This last figure describes only the overdue pool and does not measure the average collection cycle for all credit sales.
Reading the aging buckets
In the accounts receivable aging calculator, Current means the due date has not passed. A 1–30 day balance may need a routine reminder; older balances may deserve closer review, depending on the customer and agreed terms. The ranges are inclusive: 30 days goes into 1–30, 31 into 31–60, 60 into 31–60, 61 into 61–90, 90 into 61–90, and 91 into 91+. These boundary rules keep every invoice in one category.
The accounts receivable aging calculator can help prioritize follow-up, but age alone does not mean an invoice is uncollectible. An unresolved dispute, a pending credit note, or a promised payment can change the next step. Compare the report to your general ledger and customer statements. A larger overdue share might reflect a temporary billing issue, seasonality, or a persistent collections problem.
Due-date aging versus invoice-date aging
The accounts receivable aging calculator ages by due date. Some accounting systems offer an invoice-date method instead. Under that approach, the same invoice can be 45 days old but still current under Net 60 terms. Check your reporting method before comparing two reports. The QuickBooks accounts receivable aging guidance describes standard 1–30, 31–60, 61–90, and 91+ periods; specific software settings can differ.
If you need to derive a due date from a term, use the Invoice Due Date Calculator first. Use Days Sales Outstanding for an aggregate sales-based collection period, and Accounts Receivable Turnover for collection frequency. These measures answer different questions.
Data quality and limitations
- The accounts receivable aging calculator accepts up to 50 manually entered invoice rows and does not connect to accounting software.
- It treats every calendar day equally; holidays, time zones, legal disputes and collection pauses are not modeled.
- Negative balances or unapplied credits are not supported. Apply credits to the relevant invoice balance before entering it.
- A balance that changes during the reporting period is entered at its open amount as of the report date; payment history is not reconstructed.
- Currency selection changes the symbol and rounding display only. Do not mix currencies in one report.

More ways to use an aging report
Use the accounts receivable aging calculator to review the 91+ bucket separately from recent overdue invoices. A small number of old, large balances can dominate the total even when most customers pay on time. Compare successive report dates to see whether overdue amounts are moving into older ranges or being collected. Keep a consistent basis for the comparison, including how you handle credit notes, write-offs and disputed balances.
The accounts receivable aging calculator is a planning aid, not a bad-debt provision. Expected credit losses require additional judgment, historical collection data, forward-looking information and the accounting framework that applies to your business. The accounts receivable aging calculator shows age as one signal among several. Do not apply arbitrary loss percentages to these buckets as if they were universal rules.
Accounts receivable aging calculator FAQs
Does an invoice due today count as overdue?
No. It remains current through the due date. It becomes one day past due on the next calendar day.
Can I add more than five invoices?
Yes. Use Add invoice for up to 50 rows. Remove rows you do not need.
What happens to a partly paid invoice?
Enter only its remaining open balance as of the report date, after any applicable credits.
Does this calculate Days Sales Outstanding?
No. DSO uses credit sales and average receivables over a period. The weighted days here describe only overdue balances in this invoice list.
Are the 30-day boundaries inclusive?
Yes. One through 30, 31 through 60, 61 through 90, and 91 days or more are separate ranges.
Can I combine different currencies?
No. Convert balances consistently outside the tool before using one report; the currency menu only formats displayed amounts.
